Privacy policy for the application process

The applications are operated by Bookiply GmbH, Pappenheimstraße 3, 80335 Munich, Germany (commercial register no.: HRB 227317).
Bookiply GmbH is the body responsible or data protection within the meaning of Section 11 of the German Federal Data Protection Act (BDSG) and Art. 28 of the EU’s General Data Protection Regulation (GDPR) as well as Section 62 of the new BDSG.
We provide you with this privacy policy, which relates exclusively to the data collected in the context o the online application process, in order to inform you about how we at Bookiply handle your personal data collected in the context of the application process.
By submitting your application, you agree to these data protection provisions.

2. Personal data in the context o the application process
Personal data is inormation about personal or factual circumstances of a specific or identifiable natural person. This includes information such as your name, your address, your telephone number and your date of birth, but also data about your specific career etc., which can be assigned to a specific person with reasonable effort. Information not directly associated with your real identity, however, is not personal data.

3. Collection and processing o personal data
Our data protection provisions are in line with the BDSG, the EU GDPR and the new BDSG as well as the German Telemedia Act (TMG).
I you submit an application, you provide personal data and information (first name, last name, email address, telephone number, as well as any attachments such as your CV, cover letter etc.) voluntarily.
The data you provide is stored in a database, which is operated by a third-party company called Personio GmbH ( In accordance with the relevant laws mentioned above, we have concluded the necessary data protection agreement with Personio GmbH, which ofers HR administration and application management software and stores data exclusively on ISO-certified servers in Germany. With sending an application by email to the encryption depends on your email service provider. Responsible employees of our company can access the data mentioned in order to fill vacant positions with suitable candidates.

4. Storage o personal data
In principle, the personal data is stored exclusively or the purpose of filling the vacant position for which you have applied.
In order to identiy other positions which may be of interest to you, we will add your data to our Talent Pool after receiving your prior consent. By granting your consent, you agree to storage beyond the legal requirements. Your data will be stored in our Talent Pool for an unlimited period. You can revoke your consent at any time and object to the storage of your data (see also 8.).

5. Erasure o personal data
You can contact us at any time via to arrange or your data to be erased.
Your data will be automatically anonymised ater 180 days. The data will then only be available to us in the form of metadata, with no direct personal connection to you, for statistical evaluation purposes (e.g. proportion of applications from women or men, number of applications in a given period etc.).

6. Disclosure o personal data
Your personal data will only be disclosed to third parties i Bookiply GmbH is legally obliged to do so or if it is necessary in the event of abuse or for investigative purposes.
However, this requires speciic evidence of illegal or abusive behaviour. By order of a competent body, we may provide information about this data (inventory data) in individual cases, in particular for purposes of criminal prosecution.

7. Security o your personal data
We as a company, including any employees involved in the application process are required to take appropriate organisational and technical measures to protect personal data rom abuse, unauthorised publication and loss. These measures at least satisfy the requirements of Section 9 of the BDSG and Section 64 of the new BDSG.

8. Right o access
You have the right to request inormation from us about your stored data pursuant to Section 34 of the BDSG, Art. 15 of the GDPR and Section 57 of the new BDSG. In addition, in accordance with Section 20 of the BDSG, Art. 16ff. of the GDPR and Section 58 of the new BDSG, you have the right to request that we rectify, erase and block your personal data.
